13.31 Fire Resistive Rating Policy for Furniture, Scenery and Decorations

Subject: Fire Resistive Rating Policy for Furniture, Scenery and Decorations

Purpose: To provide direction and instruction for the procurement of furniture, scenery and decorations, which meet or exceed the above stated Policy.

In accordance with the Fire Resistive Rating Policy for Furniture, Scenery and Decorations issued by Environmental Health and Safety, all furniture purchased or reupholstered, decorations and scenery that are used or intended for use in University of Chicago buildings shall maintain a fire resistive rating in accordance with the Policy.

1. Purchase Orders Not Requiring Competition

Insert the following statement in the Purchase Order text: “By fulfillment of this purchase order you are attesting to the compliance of the attached Fire Resistive Rating Policy”.
Release the purchase order to the suggested supplier. Purchase Orders must be submitted in hard copy to the supplier.
Forward a copy of the Fire Resistive Rating Policy to the supplier with the hard copy purchase order.
1. If the supplier fills the order, it is understood that the product(s) offered meet the requirements of the Policy.

2. Purchase Orders Requiring Competition

Insert the following statement as the opening paragraph on the RFQ: “All products offered in response to this solicitation must meet the required specifications as stated in the attached Fire Resistive Rating Policy.”
Forward the Fire Resistive Rating Policy with the Request for Quotation (RFQ) to the suppliers.
Do not release the purchase order until an offer response from the supplier is received and a final award is made.
The Buyer will not be required to verify the successful supplier’s compliance with the Policy, because it is understood the products offered in their response meet all requirements of the Policy.
Release the purchase order to the suggested supplier. Purchase Orders must be submitted in hard copy to the supplier.
